Arrival & Collection of Children

Emergency Connects and Authorised Persons for Collection

Sign In & Out

Children must be signed in/out by a parent or guardian. It is a legal requirement for guardians to sign children in and out of the service at the time of arrival and departure.

What do you need to know?

Kool HQ uses a digital sign-in/out system that enhances the safety collection of children. Any person who will collect your child at the service will have to be recorded in our system and authorised to do so.

  • Guardians will use a QR Code at our service to sign children in and out
  • Guardians will need to bring their mobile phone to the service
  • Guardians will be required to enter their phone number into the iCheck-in app and this will generate a PIN that can be reset and used for each sign in/out.
  • Our team will support this process for a smooth and easy drop-off and pick up!

If another person (other then yourself) is going to sign in/out your child:

Guardians (Enrolment Holder only) can manage their child’s emergency contacts via their Parent Portal account (web or app).

This can be completed by:

  • Log in to the Parent Portal
  • Clicking on the ‘Details‘ menu
  • Click the ‘eye‘ icon under the child’s name
  • Click on ‘Emergency Contacts
  • Click ‘Add new emergency contact

Please ensure you have at least two (2) authorised people listed on your enrolment form for the collection of your child. These people must be adults over the age of 18 years.

All children should be collected from the service by closing time.

Parents & Guardians are required to plan their arrival to the service on adequate time to collect their child at least 10 minutes before the service closes. This allows time to be out of the service by closing time. A Late Fee of $1 per minute is charged for children left after the closing time.
